What is Google Apps?

Google Apps for Education is a suite of products that schools and universities can use to bring communication and collaboration tools to the academic community. Google manages the technology while you own and are responsible for the content.

You can share ideas quickly and work efficiently when the same powerful communication and sharing tools are accessed. Google Apps for Education provides email, sharing of calendars online, instant messaging and even a dedicated support website. There is no hardware or software to install or maintain since everything is delivered via a standard web browser – anytime from anyplace.

What Google Apps are available?

With an RMIT Google Apps account, you can access the core suite of Google products: Gmail, Calendar, Docs, Sites, Chat and Contacts. Google’s additional services such as Maps, YouTube and Blogger are accessible with RMIT Google accounts, however features of these services requiring login are not available, such as commenting and uploading videos in YouTube. Google + is also currently not available to Google Education accounts.

How do I access and log in to Gmail and Google Apps?

RMIT students can access Gmail and the other Google applications via the email portlet in myRMIT.

Alternatively, you can access your account directly via the Gmail website using your full email address as your RMIT ID, e.g. s1234567@student.rmit.edu.au. If you have not logged in, your default password will be the letter ‘p’ followed by your date of birth in the format of pYYYYMMDD. You will be required to change this password after the first time you log in.

Note: Do not check ‘Stay signed in’ when accessing from a public or shared computer.

Important: Do not attempt to create your own RMIT Google account. This has already been created for you. If you have trouble logging in when using the above login information, contact the IT Helpdesk.

I already have a personal Gmail account, why do I need Google Apps at RMIT?

Your RMIT Google Apps account gives you access to an ad-free version of Google Apps for Education tailored to meet the needs of education institutions. This includes a number of features not available to public Gmail account users.

Is my email and information at Google Apps secure and private?

Yes. Privacy and data security were of the highest priority for the University in selecting its vendor, and we are satisfied that the data security and privacy standards to which Google has committed meet the University’s requirements. Can I access my Google Apps account on a mobile device?

Yes. You can access Google Apps via your mobile device’s web browser, an email application or as the primary email address installed on your device’s email client.

Can I access my RMIT email from another email account (provider)?

Yes. You can use POP or IMAP clients. To set up your account for this, check out Google help at: Other ways to access Gmail

I understand students are using Google Apps. What does this mean for staff?

Google Apps has been launched to students ahead of staff. Staff will continue to use their current email system until Google Apps is released to them. In the interim, any staff member with a Gmail account can share and collaborate with students and benefit from the tools on offer.

I’ve logged into my personal Gmail account – why can’t I see my new RMIT Google account?

You need to log out of your personal Gmail account before you log in to your RMIT student Google account.

Once you are logged in to your RMIT Google account, you can switch between Gmail accounts by turning on the 'Sign in to multiple Google Accounts' feature. Further information is located on the Google Apps Help.

Why do I have to log into myRMIT AND then my RMIT Google account separately?

To provide students with the best possible cloud email and collaboration solution this year, there are some technical improvements still underway. This includes ‘single sign-on’ functionality which will ultimately eliminate the need to log in twice.

What happened to Alias management?

Aliases are when you elect to have your name displayed in your email address, e.g. john.smith@student.rmit.edu.au instead of your student number. If you had an alias set up prior to 5 July 2011, your alias has been carried over to your new Google account. However, you will need to manually enable it in Google to show when sending mail and sharing documents. For instructions, go to Google Apps instructional guides.

Currently, no new aliases can be created.

What is the data storage allocated to my Google Apps account?

In addition to the 25GB storage for email (including attachments), students will also have:

  • 1GB for non-Google docs, e.g. MS Office and other file types (any file type can be stored), and;
  • Unlimited for Google native docs (Google docs, spreadsheets, forms and presentations).

Can I forward my emails to another account?

Yes. There are a few ways to do this; by setting up auto-forwarding, you can redirect some or all of your messages to another email address automatically; or by setting up POP (Post Office Protocol). To do this, go to POP vs Auto-Forwarding.

Is my RMIT Google Apps account linked in any way to my personal Google account?

No. There is no linkage or connection between your RMIT Google account and any personal Google account you may have.

How do I contact other RMIT students in Melbourne and Vietnam in Google mail?

You can find other RMIT students on Google by using the Contacts functionality. Simply click ‘Compose mail’ and begin typing the name of the student in the ‘To’ field. A list of matching names will automatically appear and you can select the relevant student.

Can I find staff members on Google?

Once staff at RMIT have been migrated to Google Apps, you will be able to locate them through Contacts. More information about Contacts can be found on the Google Apps Help web page.

Why are my recipients predicted in Gmail?

Google Contact Sharing has been switched on for RMIT Google accounts to allow for easier addressing of mail and shared items. This service was available in the old RMIT student email system (Address Book), and provides students with the ability to collaborate and communicate with other RMIT recipients based on name rather than email address. If you would like to opt out of this service, please contact the IT Helpdesk.

Can I migrate my old student email to Gmail?

For instructions on how to migrate your mail, go to Google Apps support ‘Migrating email from Netmail to Gmail’ section. Your old email will be available for three months after launch so that you have plenty of time to migrate the content you want to retain. Please note that any calendar appointments, contact lists and/or email forwards that you have set up in your old student email account, will not be carried over to your Google account. These will need to be manually set up in Gmail.

Can I get full Google Apps functionality on my Google device via RMIT’s wireless network if I’m in Melbourne?

Yes. While on campus, full Google functionality is available via RMIT’s wireless network. More information is available on the wireless network at RMIT.

How do I log into my old (Netmail) email account?

Access to the old email system will be available for three months for the purpose of migrating email only. You will no longer receive email in this account.

To access, go to Netmail and login with your RMIT ID (student number) and password.
