Accessing the RMIT Archives Collection

Information regarding access to records collections held by RMIT Archives.

Who can request access to the RMIT Archives Collection?

Anyone can request records held in the custody of RMIT Archives by telephone, facsimile, conventional mail, or electronic mail.

Collections of records maintained by the RMIT Archives collectively form an important information resource for the University community and the community in general. While we encourage the use of this information resource, we must keep in mind access provisions that protect the privacy of individuals and the longevity of records.

Assessing Access

When a request for access to records, or particular information, is received by the RMIT Archives, an assessment is undertaken as to whether the records, or information, can be released. This assessment places the request into one, or more, of the following categories:

The RMIT agency that created, or transferred, the record, requests access to it for official University purposes.

The records will be fully accessible. Access arrangements will be made between the RMIT Archives and the applicant.

An RMIT agency requests access to a record that they did not create or transfer, for official University purposes.

As a general rule, access will be granted but if the particular record(s) contains information that is extremely sensitive, access may be restricted. A decision to grant access may be made after consultation with the University’s Legal Office and/or the section that created, or transferred the record.

An applicant, whether or not, an employee or student of RMIT, requests access to records for reasons other than official University purposes.

The record(s) must be examined by the RMIT Archives to ensure that access by the applicant would not infringe individual privacy, or commercial confidentiality.

If an applicant is not satisfied with a decision by the RMIT Archives to disallow, or restrict access, they can make a Freedom of Information request to the University for access to the record(s).

Reproducing Records from the RMIT Archives Collection

Copying Records for Reference Purposes

Upon granting access, an accessed record may be photocopied for reference purposes unless the copying causes infringement of copyright, or physical damage to the record or collection of records.

Reproducing Records for Publication, Production or Exhibition

Upon granting access, a User may seek permission to reproduce a record for publication, production or exhibition by completing an ‘Application to Reproduce Material from the RMIT Archives Collection’.
