Transferring RMIT Records to an APROSS

Information for staff regarding the transfer of inactive records to an APROSS.

Purpose

The following information outlines the APROSS service co-ordinated by RMIT Archives and provides staff with instructions for transferring records to an APROSS.

The APROSS service can be utilised in instances when RMIT Archives cannot take records into its custody, and your area can no longer store such records that need to be retained.

Transferring records to the APROSS is explained in the ‘Guidelines For Transferring Records To An APROSS’. These guidelines must be consulted if you wish to transfer your records to the APROSS.

What is APROSS?

APROSS refers to Approved Public Record Office Storage Supplier. APROSS is a Public Record Office Victoria (PROV) program for the storage of records that the University Archivist has approved for eventual destruction, or records awaiting further appraisal.

APROSS facilities provide a range of storage services for public offices that cannot maintain their own extensive in-house storage and retrieval program. These facilities represent a selected few as the PROV has inspected these commercial storage sites and has approved them under the APROSS scheme and found that they comply with strict records storage and security requirements.

An APROSS is required to comply with the provisions of Section 14 of the Public Records Act 1973.

What is the difference between using APROSS and RMIT Archives for storing records?

Transferring records to the APROSS is no different than transferring records to RMIT Archives. We maintain the records on our archival management system and co-ordinate any requests for such records. Maintenance includes documentation control, and, where applicable, eventual destruction.

Requesting records from an APROSS receives priority by RMIT Archives. Usual turn-around for requesting records is next day delivery but arrangements can be made for same day delivery.

Using the APROSS services does involve costs for the agency responsible for the transfer of records. These costs are detailed in the ‘APROSS Schedule of Fees’.
