Course Description

In this course you will learn the skills and knowledge required to determine and manage project scope. It involves obtaining project authorisation, developing a scope management plan, and managing the application of project scope controls.

Details of Learning Activities

The objectives of this course are to develop the foundational of skills and knowledge required to determine and manage project scope. It involves obtaining project authorisation, developing a scope management plan, and managing the application of project scope controls.

You will also explore how different methods and how it applies to individuals responsible for managing and leading a project in an organisation, business or as a consultant.

The main elements of this course include:

  • Complete project authorisation activities
  • Collaborate with stakeholders to produce a scope-management plan
  • Implement scope-management plan according to procedures
  • Review and document scope-management implementation and recommend improvements

Overview of Assessment

Assessment for this course is ongoing throughout the semester. Your knowledge and understanding of course content is assessed through participation in class exercises, oral/written presentations and through the application of learned skills and insights. Full assessment briefs will be provided and can be found on CANVAS.


Assessment Tasks

Assessment 1

You are to lead a meeting with Gavin Stead, Project Sponsor, (your assessor) and Betsy Smith, Marino Director (another assessor or student) to confirm the project requirements and establish project boundaries, project benefits, outcomes and deliverables for the Expansion of Marino Enterprises.

You will need to be sure you leave the meeting with sufficient and relevant information to be able to complete the initial authorisation documents and the project scope management plan.

In the meeting you are to lead the discussion by:

  • Introducing yourself as the Project Manager, briefly covering your role and why you want the meeting
  • Enabling Betsy and Gavin to state their interest in the project
  • Asking questions to gather information to write a project scope management plan including:

- the governance arrangements including whether a steering committee will need to be formed and who will be part of the committee and the project

- the proposed budget

- the proposed timeline

- the project objectives

- the project scope

- the project measurable deliverables (at least one quantifiable and one quantitative measure)

- any constraints and/or assumptions

- any known internal or external influences

- any other information you will need to complete the required project authorisation document

  • Conclude the meeting making sure Gavin and Betsy have a shared understanding of:

- project authorisation procedures from here on

- boundaries of the project for each organisation

- project outcomes and deliverables.

Assessment 2A

You are to respond to the emails from Gavin and Glenda. To do this:

  • write a return email to Glenda, including a brief outline of the purpose of the project authorisation procedures and the procedure itself
  • complete the project authorisation template for the project.

Write an email to Gavin attaching the project authorisation document, requesting approval by the project sponsor and Board to expend resources and confirm governance arrangements for the project

Assessment 2B

You are to meet with the local builder, Lucas Smith (CBSA project officer) who is assisting you in project management activities, and the project sponsor (Gavin Stead) to work out the finer points of the project before you prepare the project scope management plan.

The meeting is to be scheduled for no more than 30 minutes and at a place and time arranged with your assessor.

Before the meeting, identify and prepare to discuss:

  • The project boundaries for each stakeholder. You will need to know what you would see these as so you can negotiate if the others at the meeting are overstepping what you consider to be their roles. You will need to include the following:

- CBSA will want an input into the design of the plant wall

- The plant wall won’t be erected until the design and plant selection is signed off

- The builder will need to clean up after they have erected the wall

- The builder is responsible for the person who will be training CBSA staff in maintenance is qualified to give the advice

  • The desired project outcome
  • The project deliverables and how they will be measured. Have at least two ideas ready for discussion
  • The benefits of the project. Have at least one point ready for discussion – this can be from the project authorisation document

You are to lead the meeting and during the meeting you are required to:

  • Describe the purpose of the project and why the group is meeting
  • Negotiate the project boundaries with the relevant stakeholders
  • Discuss, establish and confirm measurable project benefits, outcomes and outputs
  • Ensure all people in the group understand the outcomes for the project

Take notes to be able to prepare the scope management plan

Assessment 2C

You are to prepare a Project Scope Management Plan using the CBSA template and then seek approval for the document from the appropriate person/s using a communication method of your choice and according to CBSA communication policy.

Each section of the project scope management plan requires you to outline its purpose and the relationship to project scope management.

Ensure the information and procedures you add to the project scope management plan can be implemented by you as you will need to follow some procedures in completing Task 3.

Assessment 3A

In response to Gavin’s email, you are to implement the change to scope management procedures and complete any documents as outlined in your project scope management plan.

Hannibal estimates the additional design and building of the frame will be between $4,500 and $5,500 depending on the plant selection and will probably extend the project by an additional week.

You are to assume Gavin has approved the changes once he receives your email.

Finalise the change management procedures according to your plan.

Assessment 3B

The following events have occurred over the life of the project that may impact/have impacted on the scope of the project and then flow on to budget, time and quality issues.

You are to decide on how to manage each event and record your decision and actions following the procedures in your project scope management plan. This will include using the decision making log template you have prepared.

The events:

  • Request by Gavin to add the CSBA logo to the wall design (Task 3 Part B).
  • The garden wall has been installed. One of the pots drops and damages the floor

During the final stage of the project where the CBSA staff members are to be trained in maintaining the garden, one of the staff did not turn up to training, nor let anyone know they were going to be absent

Assessment 3C

You are to complete the lessons learned form, including reviewing:

  • the objectives of the project
  • the background of the project and the scope management plan
  • whether the processes in the initiation stages of the project went well or not and why/why not
  • whether the processes to prepare the scope management plan were easily implemented and why/why not
  • whether the processes and templates within the scope management plan were able to be easily implemented and why/why not
  • whether the benefits identified in the initiation document were met
  • whether the project outcome was successful and why/why not.

At least two recommendations for future projects are to be included as a result of the analysis of the project outcomes and deliverables.
