In this course you will learn the skills and knowledge required to manage quality within projects.

Details of Learning Activities

This course utilises the performance outcomes, skills and knowledge required to manage quality within projects. It covers determining quality requirements, implementing quality assurance processes, and using review and evaluation to make quality improvements in current and future projects.

The main elements of this course include:

  • Work with others to decide a project's quality requirements
  • Document a quality-management plan
  • Implement quality control and assurance processes for a defined project using a range of tools and methodologies
  • Review outcomes and recommend process improvements.

Overview of Assessment

Assessment for this course is ongoing throughout the semester. Your knowledge and understanding of course content is assessed through participation in class exercises, oral/written presentations and through the application of learned skills and insights. Full assessment briefs will be provided and can be found on CANVAS.


Assessment Tasks

Assessment 1A

To begin this part, read the following email and then complete the tasks that follow:

In this part, you will complete the following three actions:

a) Review the email below to obtain instructions from your Managing Director.

b) Read the attached Case Study about Eco-Natural Skin Care Australia’s needs for a website.

c) Read the Eco-Natural Skin Care’s Project Management Policy and Procedures.

d) Access the Briefing Report Template. Prepare a short Briefing Report for the CBSA Managing Director, outlining the purpose of the briefing report, proposed quality objectives and proposed quality standards. Identify at least ten relevant quality standards for this project.

Assessment 1B

There are three tasks in this Part:

a) Access the CBSA Email Template from the CBSA website.

b) Prepare an email to the CBSA Managing Director, Gavin Stead, and attach the Briefing Report you prepared in Part A of this Assessment Task.

c) You will receive feedback from the Managing Director. You will incorporate that feedback into the development of the Project Quality Management Plan in Part C of this Assessment Task

 

Assessment 1C

There are four tasks in this Part:

a) Use the Quality Management Plan Template (supplied as a supporting document).

b) Develop a draft Quality Management Plan:

  • Use the internet to research project quality plans that could be appropriate for the case study scenario.
  • You should also use the information in your Briefing Report and the feedback from your assessor to inform the Plan.
  • Include in the Quality Management Plan, as a minimum, include:

- Purpose of the quality management plan

- Quality objectives

- Quality standards

- Quality metrics

- Quality assurance and control mechanisms

- Quality roles and responsibilities

- Quality methods, techniques and tools to resolve quality issues

- Plan for reporting quality control and assurance problems to ensure quality issues are resolved.

c) Download a copy of the CBSA Email Template and prepare an email addressed to the CBSA Managing Director, providing him with a copy of your Draft Quality Management Plan to review prior to Part D.

d) Print out a copy of your draft Quality Management Plan to take to the project team meeting for Part D.

 

Assessment 1D

At the meeting:

  • Provide the meeting members with a copy of your draft Quality Management Plan.
  • Explain the project as this is the first time the meeting participants have attended a meeting about the website development project.
  • Walk through your Quality Management Plan with the project team members, encouraging or convincing them to agree with the assumptions that you have made.
  • Obtain agreement on the information that is documented in the Quality Management Plan as set out in the Policy and Procedures.
  • Allocate risk responsibilities to project team members.

During the meeting, you will need to demonstrate effective communication skills, including:

  • speaking clearly and concisely
  • using non-verbal communication to assist with understanding
  • using language and techniques to motivate and convince meeting participants of your reasoning and logic
  • asking questions to identify required information
  • responding to questions as required
  • using active listening techniques to confirm understanding.

 

Assessment 1E

There are three tasks in this part.

a) Prepare the Minutes of the Meeting:

  • Download the CBSA Minutes Meeting Template from the CBSA website.
  • Complete the Minutes of the Project Meeting, noting any actions and the next meeting date.

b) Update the draft Quality Management Plan (from Part B) with information obtained from and agreed at the project meeting.

  • Allocate quality roles and responsibilities to project team members (including yourself).

c) Create the Quality Management System for the project documents and take a screenshot of the folders/subfolders and list of files within the folders.

Assessment 1F

There is one Task in this part.

a) Use the CBSA Email Template to prepare an email to the CBSA Managing Director:

  • introduce the completed documents, which you have attached to the email:

- Minutes of the Meeting

- Quality Management Plan

- Screenshots of the Quality Management System.

  • Include in the email, a request to progress with the project to implement quality processes.

 

Assessment 2A

As part of the Quality Assurance approach, the Managing Director has requested you undertake a Quality Assurance Audit and prepare a report.

There are four tasks to this part:

a) Read the Assessment Task 3 Email below.

b) Review the following documents (supplied as a supporting document):

  • Project Management Plan Summary
  • Project Schedule
  • Project Finances Report
  • Interim Project Status Report
  • Website Developer Report
  • Quality Assurance Audit Report Template.

c) Use the Quality Assurance Audit Report Template to prepare the Quality Assurance Audit Report:

  • This report focuses on the implementation of project quality processes that address the following:

- Assessment of the extent to which the project processes to date meet the quality management plan developed.

- Assessment of the extent to which the web site is meeting the quality specifications documented in the quality management plan.

- Causes of variance to quality metrics and action to be taken to address recommendations.

d) File your report in the relevant sub-folder you created in Assessment Task 2

Assessment 2B

In this task, you will prepare an email to the CBSA General Manager and attach the Quality Assurance Audit Report for him to review.

There is one task to this part:

a) Use a CBSA Email Template, which, you can download from the CBSA website, and create an email addressed to Gavin Stead, Managing Director of CBSA:

  • Introduce the Quality Assurance Audit Report and summarise the contents.
  • Request feedback from the Managing Director.
  • Attach the Quality Assurance Audit Report to the Email.

Assessment 2C

In this task, you have received a request for a change from the MD of Eco-Natural Skin Care Australia, requesting the inclusion of videos on the website. You will need to complete a Project Change Request Form and send it to Gavin Stead, MD of CBSA, for approval, drawing any issues to his attention.

There are four tasks for this Part.

a) Read the email the MD of Eco-Natural Skin Care Australia sent to you requesting a change to be incorporated into the website.

b) Use the Project Change Request Form (supplied as a supporting document) and complete it with the details you received in the email from Sarah Seeward, the Managing Director of Eco-Natural. 

 c) Use a CBSA Email Template, which, you can download from the CBSA intranet dashboard, and create an email addressed to Gavin Stead, Managing Director of CBSA, requesting review and approval of the Change Request Form

  • Introduce the Change Request Form and request you received from Sarah Seeward.
  • Draw his attention to any other issues that impact the project you noted as a result of the Change Request.
  • Request approval for the Change.
  • Attach the Change Request Form to the Email.

d) Add the Change Request Form to the folders/sub-folders you set up in Assessment Task 2.

Assessment 2D

In this task, you will prepare an email to the Project Team to communicate confirmation of the requested change.

There are three tasks in this part.

a) Use a CBSA Email Template, which, you can download from the CBSA website, and create an email addressed to the Eco-Natural Skin Care Australia Website Development Project team to communicate the change requested by Sarah Seeward and the delay for delivery of the website.

  • Introduce the Change Request from Sarah Seeward and explain that the website developers have agreed to make the change to the website.
  • State the impact the change will have on the Project Budget and delivery timeline (by one week).
  • Explain that the change has been approved.

b) Open the Project Schedule spreadsheet and update the Website Development section in the schedule to include the change which will delay the delivery of the website by one week.

  • Update the dates in the schedule for Sections 3, 4 and 5, to take the delay into account.
  • Save the updated version with a different filename, e.g. Version 2 or a dated version.

c) Open the Project Finances Report and add the additional $4000 to the budget for the approved change request for the website development.

  • Save the updated Project Finances Report with a new filename, e.g. date or version number.
  • Save the document in the project folders/sub-folders.

Assessment 2E

In this task, you will prepare an email to the Website Developers advising them of the approved change to the website.

There is only one task in this part.

a) Use a CBSA Email Template, which, you can download from the CBSA website, and create an email addressed to Garry Webb at Ezy-As Website Solutions to advise him that Gavin Stead has approved the requested change.

  • Introduce the Change Request from Sarah Seeward
  • Explain that Gavin Stead has approved the change and additional budget of $4000 for Ezy-As Web Solutions.
  • Acknowledge the delay in the delivery timeline (by one week).

Assessment 2F

In this task, you will update the Quality Management System folders/files, take a screenshot of the folders/subfolders and attach it to an email to the CBSA Managing Director, for his information.

There are two tasks in this part.

Use a CBSA Email Template, which, you can download from the CBSA website, and create an email addressed to Gavin Stead, MD of CBSA.

a) Introduce the Quality Management System and the folders/sub-folders established for the project documents.

b) Attach a screenshot (or more than one screenshot) of the folders/sub-folders.

 

Assessment 3A

In this assessment task, you will review project outcomes against quality objectives, standards and metrics in order to evaluate and report on the effectiveness of quality management processes and procedures. You will need to write a report and send it to the CBSA’S MD and Eco-Natural Skin Care’s MD.

There are three tasks to this part:

a) Read the email below.

b) Prepare the Project Quality Evaluation Report in accordance with the instructions in the email.

c) Save the document to the folders in the project folders.


Assessment 3B

In this task, you will prepare an email to the CBSA General Manager and the Eco-Natural Skin Care Australia Managing Director and attach the Project Quality Evaluation Report for review.

There is one task to this part:

a) Use a CBSA Email Template, which, you can download from the CBSA website, and create an email addressed to Gavin Stead, Managing Director of CBSA and Sarah Seeward, Managing Director of Eco-Natural Skin Care Australia.

  • Introduce the Project Quality Evaluation Report and summarise the contents.
  • Point out the report has been written and sent as part of the communication items in the Project Management Plan.
  • Attach the Project Quality Evaluation Report to the email.
  • Attach a screenshot of the final version of the project folders/sub-folders.
