How to hire an apprentice

Once you've selected a candidate:

1. Engage an Apprentice Connect Australia Provider

They will facilitate the signing of the official training contract between you and the apprentice.

2. Complete the VRQA Fit and Proper Employer Declaration

The declaration assesses your suitability to employ an apprentice. You will submit it to your Apprentice Connect Australia Provider.

3. Develop a training plan

In collaboration with a Registered Training Organisation (RTO), outline the structured training the apprentice will undertake.

There are several avenues to recruit suitable candidates:

  • Apprentice Connect Australia Providers: These organisations assist in matching employers with potential apprentices and trainees. They can also guide you through the hiring process. 
  • Group Training Organisations (GTOs): GTOs employ apprentices and place them with host employers. This can be a flexible option, especially if you're not ready to commit to a full apprenticeship term. 
  • Online Job Portals: Advertise vacancies on job websites and social media platforms. Ensure your listings clearly state the apprenticeship details.

Rights and responsibilities

Provide proper supervision, training and assessment

Ensure the apprentice is supervised by a qualified individual who can provide guidance and support. Supervision levels should be appropriate to the apprentice's experience and the complexity of tasks. Regularly monitor progress and maintain records of training activities.

Understand wages and entitlements

Apprentices are entitled to specific wages and conditions under the law. Ensure you:

  • Pay the correct award rates
  • Provide entitlements such as annual leave and sick leave
  • Allow time off for formal training sessions

Your obligations

Before hiring, familiarise yourself with the responsibilities involved in employing an apprentice or trainee in Victoria. This includes providing appropriate supervision, ensuring a safe workplace, and adhering to legal requirements such as fair wages and entitlements.

What to expect from your apprentice

Apprentices are expected to:

  • Cooperate with you and carry out their jobs as instructed
  • Attend scheudled classes and notify you if they cannot attend training
  • Be punctual, respectful and follow workplace policies
  • Keep you and the RTO informed about their progress and raise any issues promptly so they can be resolved.
